About the Position
Gentai is seeking a detail-oriented, organized, and motivated Office Manager to join our team. The Office Manager will manage a wide assortment of duties and be the key point of contact for anything concerning the office. The role is responsible for overseeing standard office management, the front desk, and managing all events, activities, and projects in the office. If you have previous experience as an Office Manager, a sense of initiative, and a can-do attitude, this may be the role for you!
The role will report into the Chief Financial Officer.
Responsibilities
- Serve as the point person for office manager duties including maintenance, mailing, supplies, equipment, errands, and bills
- Provide leadership and supervision to the front desk staff
- Organize the office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repairs
- Organize office operations and procedures
- Coordinate with IT on all office equipment
- Ensure that all items are invoiced and paid on time
- Manage contract and price negotiations with office vendors, service providers and office lease
- Provide administrative assistance to the management team and other departments
- Schedule meetings and appointments
- Address employees’ queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
- Liaise with facility management vendors, including cleaning, catering and security services
- Plan in-house or off-site activities, like events, seminars, and meetings and play a key role in planning the company’s AGM
- Other duties as required
Position Requirements:
- Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
- Knowledge of Office Administrator responsibilities, systems, and procedures
- Strong organizational and planning skills in a fast-paced environment
- Attention to detail and problem-solving skills
- Excellent time management skills and ability to multi-task and prioritize work
- A creative mind with an ability to suggest improvements
- Ability to problem solve and figure things out
- A self-starter with the ability to work both independently and cross departmentally
- Proven leadership capabilities with experience leading and managing direct reports
- Excellent communication skills in both English and Mandarin.
- Hands on experience with office machines (e.g. fax machines and printers)
- Strong proficiency in MS Office Suite (MS Word, Excel, PowerPoint, Outlook)
- Valid drivers license and a reliable vehicle for running office related errands and execution of event planning tasks
Compensation Details
- Full-Time, Permanent Position

- Hours are Monday to Friday, 9:00am to 6:00pm
